Importing partners and products from Excel (XLSX)

Import and export partners and the product catalog using an XLSX (Excel) file instead of entering each record individually.

In the Numbero platform, you can now import multiple customers, suppliers, and products from an XLSX (Excel) file at once, as well as export data that has already been added. Importing partners and the product catalog is useful if you are moving to Numbero from another invoicing or accounting system, or if you want to add new business partners and products in bulk. You no longer need to enter each record individually.

How to import partners from an Excel file?

  1. Go to the "Partners" section: my.numbero.app/partner
  2. Click the "Import/Export" button and select "Import list".
  3. In the import form, click "Download template".
  4. Fill in the template with your partner data and save the file.
  5. Attach the completed file in the import form and upload it.

If you are importing a very large number of partners, the upload may take 1–2 minutes.

How to fill in the partner import template?

  • The template has 2 worksheets: data, where you enter partner data, and veidnes apraksts, which describes input data restrictions and indicates which fields are required.
  • Required fields include, for example, partner type (legal entity - 1, natural person - 0), name, registration number, and country.
  • You can also add additional data: email, phone, IBAN (for suppliers), VAT number, etc.
  • You can also add partner notes. They will be shown in the invoice form when you issue an invoice to this partner.
  • If an input field is highlighted in red, required information is missing from it.

What happens to partners that have already been added?

If a partner with the same registration number and name has already been added, the system will not create a duplicate, but will update the existing partner’s information.

How to export the partner list to Excel?

You can also download all partners added to Numbero in a single XLSX (Excel) file.

  1. Go to the "Partners" section: my.numbero.app/partner
  2. Click the "Import/Export" button and select "Export list".

The exported file has exactly the same format as the import template and includes all the partners you have added.

Product catalog import and export

You can import and export the product catalog in exactly the same way. Product catalog import and export work the same way as for partners, just with their own XLSX (Excel) template.

  1. Go to the "Product catalog" section.
  2. Click the "Import/Export" button and select "Import list" or "Export list".
  3. When importing, download the product catalog template, fill it in, and upload it back in the import form.

The product catalog template also describes which fields are required, and the exported file has the same format as the import template.

Common import errors

  • Incorrect file format - make sure the file is saved in XLSX (Excel) format.
  • Wrong template used - partners and products have different templates, so download the template in the relevant section.
  • Required fields are missing - check the red fields in the template and the veidnes apraksts worksheet.

Dynamic dates for recurring invoices

Dynamic date placeholders automatically insert the correct month or period into every new recurring invoice.

Recurring invoices now support dynamic date placeholders. Type a placeholder into the item text once, and in every automatically created invoice it will be replaced with the actual date or period. No more editing the invoice text every month.

How do you use them?

  • In the document item’s Name or Description field, type @ and choose the placeholder you need.
  • The date is calculated at the moment the document is created.
  • Placeholders work only in recurring documents.

Examples

If the document is created on October 9:

  • "Rent for @CURRENT_MONTH" becomes "Rent for 10.2026";
  • "Rent for @START_OF_THE_MONTH - @END_OF_THE_MONTH" becomes "Rent for 01.10.2026 - 31.10.2026".

How can I check the result before the invoice is created?

Use the "Transform to invoice" option. It creates a new document based on the recurring invoice settings, and the placeholders in it are replaced with real dates.

If you need a different date format, contact us. We will help you set it up, or add a new placeholder that all other Numbero users will be able to use.

Dynamic dates are currently available only in the Numbero web version. Recurrence and email settings remain unchanged.

Public API

The Numbero public API: select, create and send documents from your own systems.

The Numbero platform now has a public API. Build your own integrations and automate invoicing.

What can you do with the Numbero public API right now?

  • Retrieve created documents;
  • Create a new document;
  • Send a created document.

These are just the first API endpoints. Over time they will be improved and more will be added.

How to get started?

  • You can create and manage API keys in the Settings → API section. A key can have a name, an expiry date (up to 365 days), access permissions and IP restrictions;
  • The API documentation is available at docs.numbero.app (in English). There you can try out requests with your own API key;
  • For AI coding agents and LLMs, a condensed Markdown reference is available: docs.numbero.app/llms.txt.

During the trial period the public API is available to everyone; afterwards only on Unlimited Plus subscriptions.

Please note: documents created or sent through the API or the documentation page appear in your company profile just like any other document, so be careful with test requests too.

Bank synchronization

A new way to automatically match bank transactions with invoices on the Numbero platform.

We would like to tell you about a new Numbero feature: bank synchronization.

How does bank synchronization work?

  • The system automatically checks bank statements every few hours;
  • Incoming payments are matched with invoices based on payment reference;
  • Invoice statuses are automatically updated to “Paid” or “Partially Paid”;
  • Credit notes are checked from outgoing transactions.
  • Unmatched payments can be reviewed and linked to an invoice manually.

Bank synchronization is available only on the Plus, Unlimited and Unlimited Plus plans.
